Working with Genesys: a guide

Everything from sending a request to receiving an invoice, step by step. Keep this page handy for anyone on your team who books cover.

Watch: requesting staff

Requesting staff

  1. 1Open Request Staffing and fill in the form. It takes about two minutes.
  2. 2Tell us the role, how many contractors, the date and times, and whether it is a one-off shift or ongoing.
  3. 3Add the program's name and address, your contact details, and whether medication administration or transportation is needed.
  4. 4Use Special instructions for anything the contractor should know. Please do not include resident names or health details.
  5. 5You get an email straight away confirming we received your request.

Confirmation

  1. 1A coordinator reviews your request and confirms the details with you.
  2. 2The shift is offered only to contractors who hold the right credentials, are cleared for your program and are available.
  3. 3When the shift is covered, you get a "Coverage confirmed" email listing the shifts.
  4. 4To add or change anything, reply to any of our emails.

Changes and cancellations

  1. 1To change or cancel a request, reply to the confirmation email.
  2. 2If a contractor can no longer attend, you get a "Coverage update" email. We start finding a replacement straight away and confirm by email once the shift is covered again.
  3. 3If we cannot fill a shift, we tell you by email so you can make other arrangements.

Contractor documents

  1. 1On request, Genesys can share a contractor's verified documents with you, such as licenses, CPR and training certificates.
  2. 2You receive an email with a "View the documents" button. The link opens a page where you can view or download each document.
  3. 3The link stops working on the date in the email, to protect the contractor's privacy. Please do not forward it.
  4. 4If a link has stopped working, reply to the email and we will send an updated copy.

Timesheets and invoices

  1. 1At the end of a shift, the contractor may ask your on-site supervisor to sign their timesheet. This confirms the hours worked.
  2. 2Genesys reviews each contractor's hours before billing.
  3. 3Invoices arrive by email as a PDF, with the invoice number, pay period, hours and amount due.
  4. 4Questions about an invoice? Reply to the email it came with.
